Requests for access to Colleague, Imagenow/Perceptive and EMS

In order to be in compliance with our Written Information Security Program (WISP), any employee requests for access to Colleague, Imagenow/Perceptive, Informer, EMS or Workflow, must be made by the employee’s supervisor via a ticket in Sys Aid, or email colleague.support@ollusa.edu

The email creates a ticket automatically. Division leaders should have a list of their Colleague security classes and should know what to include. If not, they will be shown how to access the information. 

At no time is an employee allowed to request their own access to these systems. ITS will be sending out updated security classes to division leaders again soon.

Faculty access must be requested by their supervisors or Academic Affairs.

OLLU Ellucian Systems will be down on Friday

As part of an effort to improve the Ellucian Managed Cloud Service offering that OLLU participates in, the Ellucian vendor is modernizing all environments by moving the OLLU cloud instance into an Ellucian Resource Domain. This is necessary to improve stability, up time, and quality of service delivery. This is required of all Ellucian clients who are on the Ellucian Cloud.

In order to make these improvements, OLLU Ellucian systems will be unavailable on Friday, April 28, from 11 a.m.-7 p.m. As a reminder, April 28 is a half day for students, faculty and staff due to the Fiesta holiday.

Systems Affected are: Colleague, Self Service (including Time Entry), Saints Connect Advise, Touchnet ecommerce, Ellucian Workflow, ImageNow linking, Informer reporting, all integrations to systems that use Colleague data (i.e. Bookstore, Synoptix, Acalog,  Library, Chartwells, Medicat, Symplicity, Adirondack, TimelyMD, GivePulse).  This affects both Production and non-Production environments.

Email will not be affected.  A temporary page will be placed on the “Current Students” and “Faculty and Staff” pages of the OLLU website to allow access to Blackboard and the email system.

This update was originally planned for March 17 but had to be postponed due to the vendor’s schedule.

General ledger closing on Aug. 18, Colleague not available

The Accounting Office will close the University’s general ledger for the fiscal year May 31, 2016 on Thursday, Aug. 18, 2016. The process will begin at 7 a.m. and will take approximately two hours. Staff members are asked not to log on to Colleague during this time. A notice will be sent when the process is complete.
