Requests for access to Colleague, Imagenow/Perceptive and EMS

In order to be in compliance with our Written Information Security Program (WISP), any employee requests for access to Colleague, Imagenow/Perceptive, Informer, EMS or Workflow, must be made by the employee’s supervisor via a ticket in Sys Aid, or email colleague.support@ollusa.edu

The email creates a ticket automatically. Division leaders should have a list of their Colleague security classes and should know what to include. If not, they will be shown how to access the information. 

At no time is an employee allowed to request their own access to these systems. ITS will be sending out updated security classes to division leaders again soon.

Faculty access must be requested by their supervisors or Academic Affairs.

Employees must complete security training by Nov. 23

As part of the university’s ongoing efforts to protect OLLU’s information and technologies, all employees must complete information security training by Nov. 23. 

Failure to complete the training will result in loss of access to the OLLU network, including email, MicroSoft Office, etc. This is a security compliance requirement.

All employees should have received an email from notifications@securityiq-notifications.com. This is a legitimate email and should not be deleted. Follow instructions in the email to complete your training. Employees will receive reminder emails until the training is complete. If you have not received the email, please search your junk email folder or contact the Help Desk.

The training involves a series of videos on a variety of security topics. The videos do not have to be viewed all in one session, but all training must be complete by the deadline.

Thanksgiving holiday payroll deadline

Due to the Thanksgiving holiday and supervisors on vacation, the deadline for supervisors and proxy users to review and approve time will be moved to 10 a.m. on Monday, Nov. 20.  This will allow the Payroll Office to complete processing timely for the Nov. 22 bi-weekly pay day.

Bi-weekly employees will be paid on Wednesday, Nov. 22 for the pay period of Nov. 4-17.

Also, bi-weekly employees are reminded to input their holiday hours for Nov. 22, 23 and 24, if not working those days.

President’s Council approves additional days off

At the request of the Staff Assembly, President’s Council has approved the following additional days off for the 2023-2024 academic year:

Friday, Dec. 22 – Extension of Christmas holidays

Tuesday, Jan. 2 – Extension of Christmas holidays

Friday, March 15 – Friday of Spring Break

Thursday, March 28 – Holy Thursday

Friday, July 5 – Extension of July 4th holiday

As announced previously, President’s Council also approved Wednesday, Nov. 22, as a day off as an extension of the Thanksgiving holidays. All university offices will be closed on these days off.

SharePoint based Policy Bank has replaced ConvergePoint

As announced earlier this year, the university is discontinuing the use of ConvergePoint software for housing policies. A new Policy Bank, housed in SharePoint, is now available and can be accessed at this link: https://ollusa.sharepoint.com/sites/OLLUPolicies.

Any links you or your department have to ConvergePoint policies, procedures, guidelines or statements no longer work and should be relinked to the Policy Bank. Access to ConvergePoint will be cut off on Nov. 1.
